How it works
What is IMAP and why does it matter?
IMAP (Internet Message Access Protocol) is the standard way email apps read messages from a mail server. Every major provider supports it - it is how Outlook, Apple Mail, Thunderbird, and most other apps reach your inbox behind the scenes.
Connect a custom IMAP account and you give Replai your server address, port, and login. We use them to read your incoming mail and show it in a clean, categorized view - just like Gmail and Outlook, but for any provider.
SMTP (Simple Mail Transfer Protocol) is the matching standard for sending. Add your SMTP details and Replai can send outgoing replies through your provider directly.

How to connect your email in 3 steps
Create your account
Sign up for Replai free. No card, no inbox access to start - test the reply generator first if you like.
Add your IMAP server
Go to Settings → Integrations → Custom Email Server. Enter your IMAP host, port, username (email address), and password. Click Test to verify the connection.
Sort & manage your inbox
Click Sort inbox in your dashboard. AI reads up to 50 emails and copies each into a Replai folder, created right inside your mailbox. Open any email to draft a reply in your voice.

Each category becomes a folder inside your IMAP mailbox - e.g. Replai: to respond. Emails are copied, never moved, so your inbox stays intact.

How the AI writer works with any inbox
The reply generator is the core of Replai, and it works no matter which provider you use. Open an email in Replai and the full thread goes to the AI along with your reply identity - your tone, saved examples, and go-to phrases. The result is a draft that reflects how you actually write, not a stiff "I hope this email finds you well" template.

Connect via IMAP and you gain context: Replai reads the full thread history, sees who you have replied to before, and learns from your sent mail over time. That context makes drafts far more accurate for ongoing relationships and multi-turn threads.
Privacy & security
What Replai does (and does not) do with your email
Replai reads email from your IMAP server for two things only: to show it in your inbox view and to draft replies. That is the entire scope of the connection. We do not send email on your behalf (unless you set up SMTP and choose to use it), do not train AI models on your content, and do not share your email data with anyone.
Your IMAP password is encrypted before storage with a key derived from your account. Delete the connection and the credential is gone for good. For the full picture of how Replai handles data across every integration, see the security and privacy page.
